Safeguarding Policy
I. Purpose of Safeguarding Policy
The safeguard policy in a foundation has several important objectives to ensure that all parties involved in the BASAbali Wiki Foundation (hereinafter referred to as the Foundation), especially vulnerable groups, get maximum protection. Some important objectives of the safeguard policy in the BASAbali Wiki Foundation are as follows:
1. Protecting Stakeholders and Beneficiaries
The safeguard policy aims to protect our platform users, beneficiaries, and other stakeholders, especially children, youth, women, the elderly, people with disabilities, and other vulnerable groups from all forms of abuse, exploitation, and inappropriate treatment.
2. Maintaining the Foundation’s Reputation
With the safeguard policy, the Foundation can maintain its reputation in the eyes of the public, donors, and partners. This is important to maintain trust and support from various parties.
3. Improving Trust and Accountability
This policy helps to increase the trust of beneficiaries, staff, volunteers, donors and the wider community in the Foundation. It also increases the accountability of the Foundation in carrying out its activities.
4. Preventing Acts of Abuse:
The safeguard policy serves as a deterrent against all forms of abuse or violation, both by staff, volunteers, and outside parties who interact with the Foundation both offline and online.
5. Providing Guidelines and Operational Standards
This policy provides clear guidelines and operational standards for all Foundation personnel and Foundation Partners in carrying out their duties and responsibilities, especially in interactions with vulnerable groups.
6. Ensuring Safety and Welfare
With this safeguard policy guideline, the Foundation ensures that the safety and welfare of all individuals involved in the Foundation’s programs and activities are well maintained.
7. Supporting Responsive Policy Development
Safeguard policies help the Foundation develop policies that are responsive to the needs and situations that may be faced by beneficiaries and Foundation staff.

II. Subjects of Safeguarding Policy
The parties covered by this safeguard policy are all Foundation staff (people), Foundation partners, users of the Foundation’s digital platform, as well as other stakeholders such as Yowana Abhinaya, volunteers, Wikithon participants, other institutions, and so on.
III. Descriptions of Safeguarding policy
1. Protection of Users’ Personal Data
User personal data protection refers to a set of policies, procedures, and practices implemented by organizations or individuals to ensure that personal data collected, stored, processed, and shared are protected from unauthorized access, unauthorized use, leakage, and destruction. Personal data includes information that can identify an individual, such as name, address, phone number, email address, identification number, financial information, and health data.
The Foundation is fully committed to protecting the personal data of all platform users who interact with us. The personal data in question is the data of website users and Wikithon Public Participation participants. As part of this commitment, we ensure that all personal information collected, stored and processed by the Foundation is managed with a high level of security and confidentiality. Our personal data safeguard policy includes the following:
- We will provide clear and understandable information about how your personal data is collected, used and stored. Every user has the right to know the purposes for which their data is used and how it is managed.
- We will only collect your personal data in accordance with the data you provide when accessing the Foundation’s website with clear and explicit consent.
- We implement strict technical and organizational security measures to protect your personal data from unauthorized access, leakage, or destruction. This includes data encryption, strict access control, and periodic security audits.

Our IPR safeguard policy is designed to ensure that all intellectual creations produced by the foundation, as well as those used by the foundation, are safeguarded and protected in accordance with applicable laws. The provisions of this policy include the following:
- We recognize and respect all intellectual property rights generated by individuals, groups, or organizations, both within and outside the foundation. We are committed to not using, reproducing, or modifying the intellectual work of others without valid permission, both in our social media content and in our activities.
- We ensure that all copyrighted works produced by the Foundation’s staff, volunteers and partners are protected by copyright in accordance with applicable laws. These copyrighted works include, but are not limited to, writings, publications, images, artwork, animations and graphics, educational and training materials, music, films or videos, and software.
- We are committed to protecting inventions and technical innovations generated by the Foundation by registering appropriate patents. We also ensure that the use of third-party inventions is done with a valid license or permit.
- We have registered and protected the Foundation’s brand to ensure our identity and reputation are recognized and valued. Use of the Foundation’s brand by third parties must obtain written permission from the Foundation.
- We protect industrial designs developed by the Foundation by registering them in accordance with applicable regulations. We also ensure that the use of industrial designs belonging to other parties is done with valid permission.
- We are committed to maintaining the confidentiality of information that has strategic value to the foundation. Access to confidential information is restricted and regulated in accordance with the Foundation’s internal policies.
- We ensure that all of the foundation’s activities related to IPR comply with applicable laws and regulations, both at the national and international levels. We are also committed to resolving any IPR violations that may occur in a fair and legal manner.
- We will actively educate and raise awareness of our staff, volunteers, and foundation partners on the importance of IPR protection. HaKI-related training and socialization will be part of our capacity building program.
3. Sexual Exploitation and Abuse
We remain committed to creating a safe working environment that is free from all forms of sexual violence and sexual exploitation. We recognize that sexual violence and exploitation are serious violations of human rights and we are determined to take proactive and responsive measures to prevent and address these issues. Our commitment includes the following measures:
- Education: We will provide education and training programs for all our staff, volunteers and beneficiaries (platform users, race participants) on the importance of preventing sexual violence and sexual exploitation, and how to recognize and report such incidents.
- Awareness Campaigns: We will conduct ongoing awareness campaigns to educate Foundation staff and partners about the impact of sexual violence and exploitation and the importance of creating a safe and supportive environment.
- Zero Tolerance Policy: We implement a zero tolerance policy towards all forms of sexual violence and exploitation among staff (Foundation personnel) and Foundation partners. Any violations will be followed up firmly in accordance with applicable law.
- Reporting and Follow-up Procedures: We will provide a safe, confidential, and easily accessible reporting mechanism for anyone who experiences or witnesses sexual violence or exploitation in the Foundation environment. Each report will be taken seriously and followed up immediately by the competent team.
- Support Services: We are committed to providing comprehensive support services for victims of sexual violence and exploitation, including psychological counseling, legal assistance, and medical services.
- Assistance and Recovery: We will provide assistance to victims to help them through the recovery and restoration process and support them in achieving full well-being and recovery.
- Collaboration with Authorities: We will work with legal authorities, civil society organizations, and other agencies to ensure fair and effective law enforcement against perpetrators of sexual violence and exploitation.
- Support Network: We will build and strengthen support networks with other organizations focused on preventing and responding to sexual violence and exploitation to share resources, knowledge, and best practices.
- Regular Monitoring: We will conduct regular monitoring of our policies and practices to ensure the effectiveness of the prevention and mitigation measures implemented.
- Evaluation and Improvement: We will regularly evaluate our programs and policies, and make necessary improvements based on feedback and monitoring results.

4. Sexual Harassment
We express our full commitment to create a safe and cooperative work environment free from all forms of sexual harassment. We are committed to protecting every person of the Foundation, including staff, volunteers, and interns from acts of sexual harassment.
Our commitment is realized through the following steps:
- We implement a zero tolerance policy towards any form of sexual harassment. Any reports of harassment will be taken seriously and will be followed up immediately in accordance with applicable procedures.
- We will provide regular and inclusive training to all Foundation personnel and Foundation partners on what sexual harassment is, how to prevent it, and steps that can be taken if harassment occurs.
- We provide a safe and confidential reporting channel for victims or witnesses of sexual harassment. We ensure that the reporter will be protected from any form of intimidation or retaliation.
- We are committed to providing adequate support to victims of sexual harassment, including psychological, medical, and legal assistance where necessary.
- Every report of sexual harassment will be investigated in a professional, fair and transparent manner. The results of the investigation will be used as a basis for taking appropriate action against the perpetrator.
- The Foundation will conduct regular monitoring and evaluation of the policies and procedures that have been implemented to ensure their effectiveness in preventing and handling sexual harassment.
- The Foundation will continue to strive to create and maintain a healthy work culture, where every individual feels valued, heard, and treated with fairness and respect.
We reaffirm our full commitment to make the work environment and cooperation a safe place and free from sexual harassment. We invite all Foundation personnel and Foundation partners to jointly maintain and implement these values for the common good.
5. Child Protection
In this safeguard policy, we declare that all Foundation activities are completely free from child labor. We do not employ minors in all activities and management of the Foundation and do not display images or videos of minors in our publications without agreement with parents and guardians.
In carrying out Foundation’s activities related to minors (for example, writing illustrated children’s storybooks in three languages: Balinese, Indonesian and English), we do not display photos, videos or the personal identity of the author if the author is a minor.
We are also committed to not featuring photos and videos of minors in any of our digital publication content. We are committed to the non-exploitation of minors on our digital platforms.
6. Human Trafficking
We declare with truth and guarantee that all activities of the Foundation are completely free from human trafficking activities which include exploitation of the human body, forced labor without decent wages according to the law, slavery, child exploitation, organ harvesting, and taking photos and videos of humans without the consent and permission of the person concerned.
7. Bullying
We hereby declare a strong commitment to create a work environment and interactions that are safe, harmonious, and free from all forms of bullying. We are committed to protecting every person of the Foundation, including staff, volunteers, beneficiaries, and Foundation partners from bullying actions that are detrimental to physical, psychological, social, and professional. We can describe this commitment as follows:
a) Physical Bullying: we are committed to creating a work environment and digital platform that is free from all types of physical bullying and acts of physical violence against Foundation personnel and volunteers.
b) Verbal Bullying: we hereby commit that all Foundation activities, both online and offline, are completely free from all types of verbal bullying against Foundation personnel and Foundation partners. The verbal bullying in question is in the form of mocking, body shaming, insulting, giving demeaning nicknames, threatening, spreading gossip, and all other verbal bullying activities.
c) Social (Relational) Bullying: we declare that all Foundation activities are free from all actions aimed at damaging the reputation or social relations of Foundation personnel and Foundation partners, such as ostracizing, spreading rumors, encouraging others to avoid someone, or humiliating someone in public.
d) Cyber Bullying: as a Foundation that conducts more activities and interactions online, cyberbullying is our priority. We have zero tolerance for any kind of cyberbullying and the use of digital technology to bully or intimidate someone. We are fully committed to preventing sending hurtful text messages or emails, posting negative or embarrassing comments on social media, sharing degrading images or videos, or hacking into someone’s personal account on our digital platforms.
e) Psychological Bullying: we are committed to protecting Foundation personnel and Foundation partners from actions that cause mental and emotional damage, such as intimidating, frightening, or manipulating someone, as well as making someone feel worthless or afraid.
f) Sexual Bullying: we are fully committed to neutralizing all Foundation activities from any kind of actions that contain sexual elements and aim to degrade or harm someone sexually.
8. Protection of Animals and the Environment
We ensure and guarantee that there is no animal abuse in any of the Foundation’s activities. We also guarantee that each of our activities does not cause damage to the environment and ecosystem.
